
ICOBM Refund Policy
Effective Date: May 29, 2026
Thank you for registering for the International Conference on Business Management (ICOBM). Because the organization of an international academic conference involves extensive upfront commitments for scheduling, physical event space reservation, virtual platform infrastructure, peer-review overheads, and journal publication coordination, the following refund and cancellation policy applies to all registrants (Authors, Listeners/Audience, and Workshop participants).
1. General Principles

All cancellation and refund requests must be submitted in writing via email to the Conference Coordinator at programcoordinator@icobm.net.

The date of the email request will serve as the official timeline marker for calculating any applicable refunds.

Bank transaction charges, currency conversion differences, and credit card processing fees incurred during payment and refund issuance are strictly non-refundable and will be deducted from the refundable amount.
2. Cancellation and Refund Timeline

Cancellation 45 Days or More Prior to the Conference Start Date: Registrants are eligible for a 70% refund of the paid registration fee.

Cancellation Between 15 and 44 Days Prior to the Conference Start Date: Registrants are eligible for a 50% refund of the paid registration fee.

Cancellation Less Than 15 Days Prior to the Conference Start Date: No refunds will be issued under any circumstances.
3. Non-Refundable Items and Exceptions

Published/Processed Papers: No refunds will be granted to registered authors if their abstract or full paper has already been integrated into the official conference proceedings, sent to indexing services (CPCI), or forwarded to affiliate ESCI/Scopus journals for publication formatting.

No-Shows: If a registered participant fails to attend the virtual sessions or physical venue (when applicable), or fails to present their paper due to scheduling conflicts, technical difficulties, or personal reasons, no refund will be provided.

Workshop Add-ons: Registration fees explicitly designated for specialized methodology training workshops (e.g., Structural Equation Modeling - SEM) are non-refundable after the registration deadline but may be transferred to a colleague (see Section 5).
4. Event Format Modification and Force Majeure

If ICOBM is forced to alter its format (such as shifting entirely from a physical venue to a virtual edition, or vice versa) due to health crises, natural disasters, travel restrictions, political instability, or other Force Majeure events, no refunds will be issued.

Paid registrations will automatically carry forward and apply to the altered format, ensuring participants still receive presentation, certification, and publication opportunities.

If the conference is completely canceled by the organizer - Center for Research in Business and Strategy (CRIBS) without a replacement date or virtual option, a full 100% refund of the registration fee will be issued to all participants. CRIBS is not responsible for any peripheral costs incurred by participants (e.g., travel, accommodation, or visa processing fees).
5. Participant Substitution
If an author or attendee cannot participate, a substitute colleague or co-author may attend in their place at no extra charge, provided that:

A formal substitution request is emailed to programcoordinator@icobm.net at least 7 days prior to the conference start date.

The substitute participant meets the same registration category requirements (e.g., Student, Regular Author).
